icomplete improves VA productivity by 50%!
I set myself up in business 1 ½ years ago when I decided I needed more flexible work arrangements as a mother of 2 growing children. I broadened my skills set and completed a VA Mastery Course with Carmen MacDougall of The Virtual Assistant Coaching & Training Company. I then set my office up from home and became a member of the UKAVA. Three months later I left my part-time job of almost 5 years and dived right in…
Now I have a diverse client base (surveyors, business coaches, designers, etc) and a work load of bookkeeping, expenses, dictation, taking minutes for meetings and I also have a significant Parcel Delivery role that I co-ordinate and manage too. I’ve absolutely no regrets starting my own business and really appreciate the freedom it gives me in relation to my children.
What business software tools would you recommend and why?
I was an Outlook user, like most people really. But was finding it a bit hard to see the wood for the trees, and it was all on my one PC. I was sending SMS messages by hand on my mobile, sometimes 8 or 10 a day, often the same message.
I choose icomplete because it would combine my Contacts List with SMS from my keyboard capability and allow me to do this from any computer I was in front of, plus being able to see my diary and contacts online. All the reminders come to my Blackberry email so that I can keep up with my work and family commitments. It’s fantastic! – It’s so much easier now!
What I really love is the remote access of all my information – I go on holiday as much as I can with my children. I’ve tried a remote access tool back to my PC before but it let me down when my PC back in the UK went to sleep on me. Now for any little emergencies on holiday I know I can get to my information – It makes my life much easier! – I think it’s fabulous!!
How long did it take to set up?
It was about 2 days to set it up, I gave icomplete my Outlook exported Contacts file, they imported it for me though you can do that yourself if you have time.
We worked out my Tags (categories of my contacts) and my Custom Fields (to track what’s important to me in my business.) Just these 2 areas of customisation have been of great help for me. It’s like having a bespoke database.
Are there any features that you particularly like and why?
I’ve discovered Tags with icomplete – they’re very powerful for me as a VA as I divide my time up over several operations that I run. I can switch between my roles instantly, but everything is in one place!
The same with the Calendar, I have a layer for each client / responsibility I have. I can see everything alongside everything else as I need. And I love the Custom fields so that I can to set up procedures.
Do you think the service gives value for money?
Yes, very good value – £12 per month is very reasonable for the benefits I’m getting from it. I was cautious about adding costs to the business at first but I am very glad that I did now.
Other VA’s I know are paying much more for the systems they use. I’m telling all my VA friends and clients about icomplete I like it so much!
I absolutely LOVE this – I would say I’m 50% more productive as a VA now – Yes 50%!
